It takes a lot of people to complete a company and a hiring team. Each of these folks needs different access to the system in order to get their job done.
In the past, we had four user levels:
We've recently revamped user levels and access roles, to help your team specify these users even further.
These users types are different based on the pricing plan your team is on. We've outlined these changes below.
Important things first (TL;DR)
- Privileged Users opening access changes - Users who were previously "Privileged Users" will now only have access to openings that are assigned to them. If your privileged users are working on openings and are not listed in the "Users" section of an opening, they will not have access to this opening.
- Privileged Users reporting access changes Users who were previously "Privileged Users" had access to all account reports, excluding EEOC/OFCCP reporting. These folks will now only have access to reporting for openings assigned to them.
- Naming convention of user levels changes - The naming of the user levels has changed. We have detailed these changes and the new levels below
Now, the details
The new user levels will be different depending on your pricing plan. There have been a number of different pricing plans over the years, but to make things simple, we'll think of this in 2 groups. Click on your pricing level to jump to your changes!

Changes for Pro Customers
User level changes
4 user type customers will now have 4 user levels. They are detailed below.
-
Super Admin - The Super Admin user will have full account access. They will have access to account settings such as billing details, and they'll have full reporting access. This is equivalent to the previous superuser role.
-
Recruitment Manager - The Recruitment Manager has access to any job openings assigned to them. They have access to build new openings, as well as send openings to paid job boards. If they are not assigned to an opening, they will not have access to the opening nor to the candidates in that opening. This is equivalent to the previous privileged user role, with the exceptions listed above.
-
Recruiter - The Recruiter has access to any openings assigned to them. They do not have access to purchase paid job boards, or create job postings. This is equivalent to the previous limited access user, with the removal of access to purchase paid postings and create job openings.
-
Hiring Team Member - The Hiring Team Member takes interviews with candidates, but isn't otherwise involved in the hiring practice. They have access to the candidates sent to them via the Interview Invites. They do not have access to edit job details, change candidate statuses, or communicate directly with candidates. This feature is ongoing - it will be fully rolled out in the coming weeks.
Can I edit these user levels further?
Yes! Super Admins can give more granular permissions under Settings > Permissions.
New permissions on each opening
For Pro Plan users there are now also permission levels within each opening.
You can edit who is assigned to an opening by clicking on "Add/Remove Users" on the right side of the Openings Details page.
Here you'll be able to set the folks to the three user permissions within this opening.
-
Job Admins - Users added as the Job Admin will have access to do everything on the opening - regardless of their user level in the system
-
Coordinators - Users listed as coordinators of the stages within your hiring workflow will automatically be added to the "Coordinators" section
-
Other Members - If someone needs to have permission to view the opening, but they are not a Job Admin or a Coordinator, you can add them in the "Other Member" section. They will have access to view the opening and the candidates inside of it. They will may also be able to make edits on the opening, depending on their user level.
Changes for Starter Customers
Two user type customers will now have two user levels. They are detailed below.
-
Super Admin - The Super Admin user will have full account access. They will have access to account settings such as billing details, and they'll have full reporting access. This is equivalent to the previous superuser role.
-
Team Member - The Team Member user has access to any openings assigned to them, and candidates in those openings. They can create openings, upload candidates, and buy paid job board postings. This is equivalent to the previous limited access user.
What actions do I need to take?
Our team have mapped your current users to the new roles, based on your pricing plan, the graphics above and their actions in the system.
We suggest that your Super Admin users review users permissions under Settings > Users and make any necessary adjustments.
You may have to assign some of your users who were previously "Privileged Users" to work on openings, so they now have access to seem them.
We also suggest you review the assignments under "Add/Remove Users" within each opening of your account, if you'd like to make any adjustments there.
